Cancellations and Refund Policy
All refund requests must be made in writing by email to by September 13th, 2024 and 23:59pm AOE. A processing fee of €20 will be assessed for full-rate registrations. A processing fee of €10 will be assessed for reduced rate registrations.
Exchange requests (from physical to virtual attendance or vice-versa) must be made in writing to by September 13th, 2024 and 23:59pm AOE. The same processing fee as above will be assessed. Requests for registration exchange from in-person to virtual received after that date will be processed but no refunds will be granted.
Regrettably, general cancellations received after that date cannot be honored. The conference committee recognizes that sometimes last-minute cancellations can’t be avoided. However, the conference incurs expenses for which it is liable based on registration counts. Registrants who find themselves unable to attend should be aware that registrations are transferable, but in general the conference committee cannot assist in finding an appropriate recipient.
In the unlikely event that the physical part of the conference is cancelled due to circumstances beyond the organizers’ control, all attendees will participate virtually. In this case, refunds will be calculated and processed in a best-effort approach, and the amount of the refunds will depend on the expenses and financial commitments incurred by the conference as of the cancellation date.
Economically Developing Countries
RecSys 2024 takes place in Bari, Italy.
For full transparency, on top of the normal costs of hosting in physical space (food, space rental, etc), the costs of hosting in virtual space are not insignificant. These costs include building and maintaining an online platform for the conference, live streaming, hosting and software licensing fees, and hiring logistical and tech support staff to ensure the conference runs smoothly.
Additionally, we are continuing and growing our programs to support equity and inclusion at the conference: In regions and countries where it is safe and feasible, we will continue to offer childcare support during the conference in the form of a childcare subsidy. We also plan to offer “data grants” for attendees with limited access to the internet.
In striving for a conference cost that is affordable for all, we also have deeply discounted rates available for those registering in countries designated by ACM as “economically developing.” To receive the discount code for registration, please be sure to select your country during the CVENT registration process.
